Minutes:            GDCCC GENERAL BOARD MEETING

Meeting Place:  Judy Yaker’s home

 

President, Art Thompson, called the meeting to order at 7:30 pm. There were 4 officers, 5 directors, and 8 representatives present.

Officers’ Report:

·         Secretary:   The minutes from the December 5, 2005 meeting were reviewed and approved.

·         Treasurer:   Loretta was not present.  Skip reported that the treasury is $11,940.60, and that the banquet made $1000.

 

Directors’ Report:

·         Prints: First 2006 competition is March 8 at Motor City.

·         2-1/4 slides: First 2006 competition is February 15 at Motor City judged by Oakwood, unless we dissolve the division (there were only 30 slides submitted for 2005).  See New Business for proposal.

·         Nature slide: The next competition is February 23 at West Oakland.

·         Color slide: Judy Yaker is the new Color Slide Director.  The first 2006 competition is February 15 at Motor City judged by Oakwood.  Avon donated a scoring system and extension power cord to replace the one that was stolen.  Judy was able to find another scoring system for the Digital Projection Division through the Stereo Club.  The only cost will be for shipping from Oregon.

·         DPD: Dennis reviewed the “Purchase Report for GDCCC DPD Equipment” handout.

It was estimated that insurance for the DPD equipment would cost ~$750/yr. The Board agreed not to purchase insurance.  Dennis voiced concern that he doesn’t know what to allow or disqualify for Nature DPD.  Board members said they would help.

·         Website: Conversion of the GDCCC web files from Microsoft Word format to DreamWeaver is going slowly.  The web site now has MapQuest links for each of the club’s. If anyone has a competition schedule change, send it to Dennis for the web site.

 

Old Business:

·         Banquet notes:

1.       Dennis Sauve received an Associate, Greater Detroit Council award.

2.       There was no Color Slide competition for 2005 because most of the end-of-year slides were stolen.

3.       Nancy, Director of the Howell Nature Center, Mariah (a Red-tailed Hawk), Cerci (a Great Horned Owl) and an anonymous Snowy Owl put on a great presentation for us.

·         DPD: John Kroll read the key points of the new DPD Rules:

1.       All monochrome images belong in the Monochrome General (MG) division, even if they contain “nature”.

2.       The “nature” rules for Color General (CG) and Nature (NA) DPD images match what has been the standard for Color Slide and Nature Slide rules.

3.       Club members will NOT all start as beginners, but will start in the Beginner, Advanced and Salon categories according to the list Judy Yaker distributed to the GDCCC Board members and club directors on November 16, 2005.

4.       Clipart is not allowed for DPD.  Clipart is not allowed for Prints.  Clipart is not allowed for Slides.

5.       The maximum displayable image size for the Canon LV-7245 Projector that the council purchased is 768 pixels, therefore the maximum allowable DPD image size will be 768 pixels.  Images submitted with greater than 768 pixels for vertical or horizontal dimensions will be disqualified.

6.       The GDCCC DPD Director will make a best effort to keep a safe copy of all of the entries and should have them available for the end-of-year competition, but it is ultimately the responsibility of each club’s DPD Director to be able to resubmit all of their club’s winning DPD entries for the year in case the GDCCC DPD Director’s copies are lost or stolen.

7.       An image that is or has been successful as a 2¼ Slide or a Nature Slide or a Color Slide or a Digital Projection Image (MG, CG and NA), including Honorable Mention (HM), becomes ineligible for future Council competition in the 2¼ Slide Division, the Nature Slide Division, the Color Slide Division and the Digital Projection Division (MG, CG and NA).  2¼ Slides, Nature Slides, Color Slides and Digital Projection Images (MG, CG and NA) that are so similar to a successful 2¼ Slide, Nature Slide, Color Slide, or Digital Projection Image (MG, CG and NA) by the same maker that a casual observer would think they are the same image are not allowed and will be disqualified.

8.       The title of an image that is or has been successful as a 2¼ Slide or a Nature Slide or a Color Slide or a Digital Projection Image (MG, CG and NA), including Honorable Mention (HM), becomes ineligible for future Council competition in the 2¼ Slide Division, the Nature Slide Division, the Color Slide Division and the Digital Projection Division (MG, CG and NA).  Any 2¼ Slide, Nature Slide, Color Slide or Digital Projection Image (MG, CG and NA) entered using the same title as a previously successful 2¼ Slide, Nature Slide, Color Slide or Digital Projection Image (MG, CG and NA) by that maker will be disqualified.

 

The board voted to accept the DPD Rules as stated in the meeting handout with the changes that were agreed to during the meeting.  (See the GDCCC web site for the new Digital Projection Division Rules.)

 

Because of the addition of the new Digital Projection Division, the Constitution, By-Laws and Rules needed to be updated accordingly.  John Kroll read the changes that needed to be made to the Constitution, By-Laws and Rules.  The board voted to accept the changes as read.  (See the GDCCC web site for the updated Constitution, By-Laws and Rules.)

 

New Business:

·         Proposal: “An image that is or has been successful in any division (Monochrome Print, Color Print, 2¼ Slide, Color Slide, Nature Slide, Monochrome General DPD, Color General DPD, or Nature DPD), including Honorable Mention (HM), becomes ineligible for future Council competition for any other division (Monochrome Print, Color Print, 2¼ Slide, Color Slide, Nature Slide, Monochrome General DPD, Color General DPD, or Nature DPD).  Any Monochrome Print, Color Print, 2¼ Slide, Color Slide, Nature Slide, Monochrome General DPD, Color General DPD, or Nature DPD image that is so similar to a successful Monochrome Print, Color Print, 2¼ Slide, Color Slide, Nature Slide, Monochrome General DPD, Color General DPD, or Nature DPD image by the same maker that a casual observer would think they are the same image is not allowed and will be disqualified.”  This proposal will be voted on at the March 13th board meeting.

·         Proposal: “Because of declining participation, the 2¼ Slide Division will be discontinued.”  This proposal will be voted on at the March 13th board meeting.  JoAnne will ask club directors to hold their submissions for the February 15th competition until after the board votes at the March 13th board meeting.  If the board votes to continue the 2¼ Slide Division, the slides for the February 15th competition will be judged separately at the March 15th competition.

·         Proposal: “In cases where a proposal is made at a board meeting and a decision needs to be made before the next regularly scheduled board meeting, a “virtual” vote can be called for and approved by the board members in attendance.  A specific date at least 2 weeks away must be set for board members and club representatives to respond by, a specific email address must be given for the votes to be submitted to, and an email must be sent by the GDCCC president or secretary to all board members and club representatives announcing the “virtual” proposal, the submission date, and the submission email address within 3 days of the board meeting when the proposal is made.  A quorum for this “virtual” vote will be a minimum of 3 officers and a minimum of 9 directors and club representatives.  The proposal and the vote will be documented in the meeting minutes for the following board meeting.”  This proposal will be voted on at the March 13th board meeting.

·         Proposal: “In cases where it’s important that a decision be made at the next regularly scheduled board meeting, but the necessary proposal was not made at the previous board meeting, a “virtual” proposal can be emailed at least 2 weeks in advance of the next regularly scheduled board meeting by the GDCCC president or secretary to all board members and club representatives announcing the “virtual” proposal and the need for a vote at the next regularly scheduled board meeting.  The proposal and the vote will be documented in the meeting minutes for the following board meeting.”  This proposal will be voted on at the March 13th board meeting.
